To provide our IT team with high-quality support, we are recruiting an IT Management Assistant to work at our headquarters in Merelbeke.
Function
Within this position, the following responsibilities will be part of your job description:
- You are responsible for providing administrative support to the CIO and, by extension, the entire department.
- You manage and monitor the schedules of the various IT teams.
- You contribute ideas about existing flows and procedures in order to optimize them.
- You maintain contact with suppliers to discuss and, if necessary, negotiate purchasing conditions. Strict and accurate monitoring of (existing) contracts is also a must.
- You monitor the invoicing specific to the service, prepare the accounts, and, after approval by the CIO, forward everything for payment.
- You are responsible for detailed monitoring of all costs and expenses incurred by the IT department.
- You arrange all IT purchases with suppliers, including via Microsoft Dynamics 365.
- You are the first point of contact for smartphones and phone subscriptions, both for employees and suppliers. You use our new service portal (Xurrent) to track all tickets. You try to help employees as much as possible yourself.
You can also call on your colleagues at the helpdesk for advanced support or solutions to all kinds of specific technical problems.
Profile
- You have good communication skills, both verbal and written.
- You are comfortable using a PC and quickly learn how to use new programs or software.
- You are a true team player and have a collegial attitude.
- You have a sense of initiative and work accurately.
- You are flexible and stress resistant.
- You have strong administrative skills and are able to plan your tasks well and set priorities.
- You can handle confidential information discreetly.
- You have an excellent knowledge of Dutch and a good knowledge of English and French.
- You have a bachelor's degree in an administrative field (Office Management, Management Assistant, SME Management, etc.).
- Experience in a similar position is a big plus.
